01The problem
Dealer orders arrived by phone, by email and by fax. Each one had to be read, interpreted and keyed in by someone at the distributor, and a misheard product code became a wrong delivery.
Purchase order numbers lived in the dealer’s own system and nowhere else. Matching a delivery back to the PO it belonged to meant digging through an inbox or a message log.
02What was built
Dealers order for themselves
A live catalogue with product codes, descriptions, units and pricing. Dealers place their own orders against it without waiting for someone to pick up the phone, and the codes come from the catalogue rather than from memory.
Purchase orders carried through
Every order carries a PO number alongside its own order ID, so a delivery can be matched back to the dealer’s own paperwork without searching anything.
Delivery marked where the order was raised
Staff mark an order delivered in the same place it came in, so the order record is the single source of what has shipped.
Built for a bilingual dealer network
Banners and content in English and French, with role separation between dealers, staff users and administrators.
03The outcome
The portal lets dealers order from a live catalogue and include their own purchase order number. Staff can review the same order, track its status and connect it to the dealer's paperwork. This gives the distributor and its dealers a shared ordering record and a clearer handoff from order entry to delivery.
What the client gained
Dealers can place orders when it suits them and include their PO number. Our team can find the order and update its status in one place, which makes the handoff easier to follow.
